Accounting Clerk (Procurement)

in its Finance Division with duty station in “Belize City”

 

ABOUT DIGI: Digi owns and operates an extensive telecommunications network throughout the country of Belize in wireline, wireless and data services. The company offers and uses a wide range of products and technologies that include fixed line telephone service, fixed wireless, national and international calling services, prepaid services, an advanced LTE mobile network, international voice, and data roaming, Fiber internet and data services.

ABOUT ROLE:The Accounting Clerk will be responsible for sourcing and purchasing goods and services required by BTL. He/she will process purchase orders and monitor quotations for (foreign and local) suppliers, maintain purchasing & quotation records, perform market and product research, and negotiate with suppliers to obtain prices and specifications. In addition, the incumbent will participate in vendor relationship management and identify cost-saving opportunities to support profitability goals. This position reports to the Procurement Manager.

MINIMUM QUALIFICATION & SKILL REQUIREMENTS:

  • Associates Degree in Accounting or related field.
  • Two (2) years’ experience in Procurement.
  • Qualified member of the Chartered Institute of Procurement (“CIPS”) or international certification in the field of Purchasing is an asset.
  • Knowledge of Procurement Principles and Controls.
  • Experience in sourcing goods and services and demonstrate a strategic approach for the selection of local and international vendors.
  • Knowledgeable of record keeping methods and procedures applicable to purchasing.
  • Sound knowledge of accounting principles.
  • Proficiency in Microsoft Suite (i.e., Word, Excel, PowerPoint, SharePoint, etc.)
  • Strong analytical and problem-solving skills.
  • Ability to meet deadlines and work beyond regular business hours when necessary.
  • Possess proficient level in written and verbal communications.

MAIN RESPONSIBILITIES INCLUDE BUT NOT LIMITED TO:

Procurement

  1. Reviews requests for purchase and determines need for purchase.
  2. Prepares request for quotations/proposals (RFQ/RFP/RFX).
  3. Processes, monitors, and summarizes quotations for foreign and local suppliers in a timely manner.
  4. Explores and recommends alternative products used by the company to improve cost and delivery.
  5. Conducts quarterly assessment of Vendors for reliability, cost-efficiency, and quality.

Negotiation

  1. Maintains and manages approved vendors. Develops and optimizes vendor relationship.
  2. Negotiates pricing, payment, shipping terms and delivery with vendors.
  3. Drafts and submits response letters to successful and unsuccessful bidders whilst effectively managing relationship with all Vendors.
  4. Discusses with vendors defective or unacceptable goods and/or services ensuring effective resolutions.

Research & Documentation

  1. Conducts market research to identify best manufacturers, suppliers/vendors, services, and goods, for procurement purposes.
  2. Assists with product research and costs analysis.
  3. Maintains procurement catalogues and updates as necessary with key information to enable the assessment and performance of each vendor
  4. Maintains records and documents as required for audit purposes and controls.

Reporting

  1. Prepare periodic reports and maintain current data on vendors, products, and services as well as appropriate records

Process Improvement

  1. Collaborates with the Quality Control team to discuss defective or unacceptable goods and/or services.
  2. Identify new opportunities for BTL, in the approach and direction of the current processes to maximize BTL buying power, assess marketplaces and other sourcing with on-line platforms to establish whether these platforms are beneficial to BTL.
